How to make Email Templates and use them in IDA for automated emails, mass emails and individual emails.
The first step to making a template is archived by clicking on the “I.D.A. icon” in the upper left hand corner of the application then by clicking on “Options” and then “Email Templates”.
The “Email Templates” screen pops up and then you need to click on “New”.

After you click on “New” the “Email Template: New Template Dialogue” box pops up and this is there you will make the first template.
The first step is to name the template here. The example her has been named “First Contact”. Then put the subject in that you want your email recipients to read here I have put the subject “Your insurance request” then I typed ”Dear” in the white space provided for the message body of the email then I pulled down where it says “--Select On--” and selected “Customers First Name” and clicked on “add”.

The next step is to type your message in the space provided; notice that you can pull down and click add to various fields in the database and insert them in the body of the email these data fields are represented by brackets [ ] . These brackets will pull from the database and insert pertinent data on each email that is sent out of the program to the appropriate party, so each email will have personalized information for each email recipient.

After you have the template the way you want it click “save”. (Please note that many people use Microsoft Word for formatted and then copy and paste in to the message body of the template in IDA. If you are having trouble with formatting due to hidden text and/or hidden spacing try using notepad as well. Notepad will show you hidden spacing and it is easy to use to clean up the look of your intended e-mail message.)
